Manage Employee Teams and Workgroups#
ShiftPlan.ManageEmployees
Overview#
This operation is used by a manager to assign his/her Employees to different Teams and Workgroups. Use the Special Manage Employee Teams and Workgroups operation to assign any Employee and the Assign Team and Workgroup operation to assign an individual Employee
Setup#
No specific setup is required other than to meet the preconditions of the transaction.
Preconditions#
- Shift Plan must be Active.
- Employees must be Active.
- If the Workgroup is set, a Position must also be set (and vice-versa).
- The current user Employee may only update the Employees for which he is the manager.
- The actor may only assign as Position to an Employee, a Certification which the Employee currently holds (that is, the system state is either Active or GracePeriod).
Sequence of Steps#
The Manage Employee Teams and Workgroups wizard can be called from the Shift Plan page within the Business Data Group.
There are two tabs within the dialog: Employees and Summary.
Employees tab#
The dialog will display information on the different configurations needed for the Shift Plan. On the top of the dialog, you can filter the entries by the Workgroup and the Position that is required of the Employees for that particular operation. Looking at the left side, the Teams that have to be filled are listed, along with the number of positions that require filling. Finally, on the right-side, you can see the Employees available for assignment, with active filters to allow easy selection. The Employees can be filtered by:
- None
- Assigned
- To assign
- Assigned to others
The system will list for each Team and Position its current status - how many Employees are assigned and how many are required. In order to make it easier to identify visually, the Team Positions which have a shortage of personnel will be shown with a red background; the Team Positions which meet exactly the Personnel Requirements will be shown with a green background; and the Team Positions which have more Employees than required will be shown with a yellow background.
Summary tab#
The system will list a matrix with all the Teams of the same Calendar as the Shift Plan and the different Workgroups and required position. It's possible to filter for an individual Workgroup by using the filter on the top. The same information about Team and Employee availability that is available in the Employees tab is displayed here in a more condensed form.
After the assignments are performed, you can press the Save and Close button to complete the operation.
